Privacy notice
Last updated 27 September 2026
Gzring is an event registration, ticketing and check-in platform, operated by Bibnor ("we", "us"). This notice explains what we collect from the organizers who run events on Gzring and from the guests who register for them, why we need it, who else sees it, how long we keep it, and how to have it removed.
Gzring is still in development. Today this website offers information about the product and a waitlist. The sections below about accounts, events, tickets and payments describe how Gzring handles information once an account is open, and apply from the moment you start using it.
Organizers and guests
Two different people use Gzring, and the answer to "who is responsible for this information" differs between them.
- Organizers are the schools, nonprofits, community groups and businesses that run events on Gzring. We hold their account and billing information, and we are responsible for it.
- Guests are the people who RSVP or buy a ticket for an organizer's event. The organizer decides what their event asks for and why; we store and process those answers on the organizer's behalf, following their instructions, and we do not use them for our own purposes.
If you are a guest with a question about an event — what was asked, or having your registration corrected or deleted — contact that organizer first. Their email is shown on the event page and in your ticket email. If you cannot reach them, write to us and we will help.
What we collect
If you join the waitlist
Your name and email address, and optionally your organization, the kind of group you organize for, roughly how many events you run a year, and anything you tell us in the notes. We also record the date and which page the form was sent from. We use this only to contact you about access to Gzring and to understand what organizers need. We do not add you to any other mailing list.
If you run events on Gzring
| Information | Why |
|---|---|
| Your name, email address and sign-in details | To create your account and let you into your console |
| Your organization's name, contact details and address | To identify who is running an event, and for billing and tax records |
| The people you add to your team and their roles | So they can work on your events, with the access you give them |
| The events you create and their content | To publish your event pages and run registration |
| For paid events: payout and fee records, and the status of your payment account | To pass ticket money to you, charge our fee, and keep financial records |
If you register for an event
| Information | Why |
|---|---|
| Your name and email address | To issue your ticket, send it to you, and let the organizer contact you about the event |
| Phone number, if the event asks for it | So organizers can reach you on the day. It is optional unless the event says otherwise |
| How many people you are bringing, and which ticket types | To reserve the right number of places and run check-in |
| Answers to the event's own questions | Only for planning that event. Each organizer chooses their own questions |
| For paid tickets: the amount, the transaction reference, and the payer's email as the payment provider reports it | To confirm the payment and match it to your ticket |
| Whether your ticket was scanned at the door, when, and by which volunteer | To admit you, to know who attended, and to prevent one ticket being used twice |
| Your device's internet (IP) address and basic technical logs | Security only: to block repeated failed sign-in attempts and flooding of the service. Not used to profile you |
Payments
We never see your card details. Paid tickets are handled by an established payment provider on their own systems. Card and bank numbers never reach Gzring. We receive only the amount, a transaction reference, and confirmation that the payment succeeded.
Ticket money is paid out to the organizer by that provider, which verifies the organizer's identity as financial rules require. Gzring keeps a service fee on paid tickets; free events stay free. Refunds are decided by the organizer under the policy shown on their event page.
Who else sees it
We do not sell your information, and we do not use it for advertising.
- The organizer of the event you registered for, and the team they have added. Volunteers at the door see only names, party sizes and what each ticket includes: not your email, phone number or answers.
- Our payment provider, for paid tickets, under its own privacy policy.
- Bibnor staff, who may see data while fixing a problem or answering a support request.
- Nobody else. Organizers never see each other's events, guests or lists. We will disclose information if the law requires it.
The database, email service and hosting behind Gzring are operated for us by our technology providers, on servers in the United States, under agreements that let them process the information only to provide those services to us. If you use Gzring from outside the United States, your information is processed there.
What we do not do
- We set no advertising or analytics cookies, and there are no third-party trackers on this website. Your browser stores only what a page needs to work — for example a sign-in session, or remembering that an animation has already played.
- We do not market Gzring to an organizer's guests. If you registered for someone's event, you hear from that organizer about that event, not from us.
- We do not sell, rent or trade personal information, and we do not use guest data to train anything.
Who can see a registration
Nobody can use an event page to find out whether someone is registered. If you ask for a ticket to be resent, the answer is the same whether or not the address is registered, and the ticket is only ever emailed. A ticket's QR code is the key to that registration, so treat the email as private: anyone holding the code can check in with it.
Children
Registrations are made by adults. Gzring is not offered to children directly, and information about children is limited to what an event needs, such as how many are attending and, if the organizer asks, a grade or a food allergy. Please do not put medical details or anything sensitive into a free-text answer; if an organizer needs that, they should ask you directly.
How long we keep it
- Waitlist entries until we have contacted you about access, or until you ask to be removed.
- Organizer accounts for as long as the account is open, and for a period afterwards where financial and tax records require it.
- Registrations, including answers and check-in records, while the event is planned and run, and afterwards as part of the organizer's record of the event. They are removed when the organizer deletes the event or asks us to remove them.
- Payment records for as long as financial and tax law requires.
- A log of emails sent (address, subject and whether it was delivered) so organizers can resolve "I never got my ticket".
- Security logs, including IP addresses, for a short period, typically 30 days.
Your choices
- See or correct your registration: use the "change or cancel" link in your ticket email, or ask the organizer.
- Cancel: free RSVPs can be cancelled from that link. Paid tickets follow the organizer's refund policy.
- Delete: guests should ask the organizer, or write to us if they cannot reach them. Organizers can close an account and ask for its data to be deleted, subject to financial record-keeping.
- Leave the waitlist: email us and the entry is deleted.
- Stop emails: messages about an event go only to people registered for it. Contact the organizer to be left off further messages.
How it is protected
- Everything travels over an encrypted connection (HTTPS).
- Guest lists, answers and invitation lists cannot be read from a web browser; only our own software can reach them.
- Access is limited to the people responsible for an event, and can be withdrawn at any time.
- Volunteers at the door are given only what check-in needs, for a single event, and nothing more.
- Organizer accounts are separated from one another, so one organizer's software session cannot reach another's data.
Changes
If this notice changes, the date at the top changes with it. Material changes will be announced on this website and, once accounts are open, to organizers by email.
